The role in a nutshell


We’re looking for a motivated, organised and detail-oriented Accounts Payable Assistant to join our Finance team in Bali on a fixed-term basis, providing maternity cover from September 2026 to January 2027.

You’ll play an important role in keeping our day-to-day finance operations running smoothly, supporting the team with supplier invoices, payments, reconciliations, expense tracking and month-end activities.

This is a brilliant opportunity for someone who enjoys working with numbers, has a keen eye for detail and wants to build hands-on experience within a fast-paced, international travel business. You’ll work closely with
colleagues across Finance, Reservations and other teams, giving you great exposure to how finance supports the wider operation.

You don’t need to know everything from day one. We’re looking for someone who is organised, curious, reliable and keen to learn, with the confidence to ask questions and take ownership of their work.

  • Accurate Accounts Payable – Supplier invoices are reviewed, processed and recorded accurately, with the right supporting documentation and account coding.
  • Payments Stay on Track – Payment information is organised and up to date, helping the team make accurate and timely supplier payments.
  • Records We Can Rely On – Expense trackers, payment records and financial documentation are complete, organised and easy to follow.
  • A Smooth Month-End – Actual costs, accruals and supporting information are recorded accurately and provided on time to support month-end reporting.
  • Great Cross-Team Communication – You build positive working relationships with Finance, Reservations and other teams, following up on missing information and helping resolve queries quickly.
  • Continuous Improvement – You spot opportunities to make everyday finance processes simpler, clearer and more efficient and aren’t afraid to share your ideas.

 

Key Responsibilities


As our Accounts Payable Assistant, you’ll support the day-to-day accounts payable function and wider Finance team. Your responsibilities will include:

  • Reviewing supplier invoices to ensure they are accurate, complete and supported by the appropriate documentation.
  • Supporting the processing, tracking and recording of supplier invoices and payments.
  • Checking invoice information against internal records and following up on any discrepancies or missing details.
  • Coordinating with the Reservations, Finance and wider operational teams to obtain invoices, approvals and supporting documentation.
  • Uploading approved supplier invoices into Xero, ensuring the correct supplier details, account codes and supporting information are recorded.
  • Maintaining accurate and up-to-date expense trackers, payment records and supporting financial documentation.
  • Assisting with supplier statement reconciliations and investigating differences where required.
  • Supporting the reconciliation of invoices, transactions and other financial records.
  • Assisting with recording actual costs and accruals to support accurate month-end reporting.
  • Helping monitor outstanding invoices and payment information and escalating any issues or discrepancies to the appropriate team member.
  • Responding to straightforward internal and supplier queries relating to invoices and payments, escalating more complex queries where appropriate.
  • Ensuring finance documentation is organised, complete and stored correctly.
  • Handling financial and commercially sensitive information with appropriate confidentiality.
  • Providing general administrative support to the Finance team when required.
  • Working collaboratively with colleagues across the business to help keep finance processes running smoothly.
  • Identifying and sharing ideas for improving accounts payable processes, accuracy and efficiency.
  • Carrying out other reasonable finance-related duties in support of the team during the maternity cover period.

Requirements

 

  • Based in Bali or able to work from our Dalung, Bali location for the duration of the fixed-term contract.
  • Available to work for the full maternity cover period from September 2026 to January 2027.
  • Good numerical skills and strong attention to detail.
  • Good written and verbal communication skills.
  • Basic to intermediate knowledge of Microsoft Excel and/or Google Sheets.
  • Comfortable working with digital systems and learning new software.
  • Able to organise your workload, meet deadlines and maintain accurate records.
  • Professional approach to handling confidential financial and business information.
  • Working proficiency in English.


Preferred Qualifications & Experience


It would be great if you have some of the following, but please don’t let it stop you applying if you don’t tick every box:

 

 

  • A qualification, ongoing study or recent graduation in Accounting, Finance, Business Administration or a related field.
  • Previous experience in an accounts payable, finance, bookkeeping or administrative role.
  • Experience processing invoices, payments or expense records.
  • Previous experience using Xero or another accounting system.
  • Experience working with spreadsheets, including basic formulas and data management.
  • Experience working within travel, tourism, hospitality or another fast-paced international business.

The Role in a nutshell

The Philippines Reservations Assistant is responsible for supporting the accurate and timely booking of all services required for tours operating across the Philippines. Working closely with the Reservations, Operations and Sales teams, the role helps ensure that accommodation, transport, domestic flights, activities and other tour services are correctly reserved and confirmed in line with each itinerary.

 

This is a detail-focused operational role requiring strong organisation, accuracy and communication. The Reservations Assistant acts as an important link between internal teams, local suppliers, Tour Leaders and managers, helping ensure all booking information is complete, up to date and communicated effectively from the initial reservation through to tour departure and execution.

 

Key Responsibilities

 

Reservations & Booking Management

 

  • Work closely with the Operations teams to secure and confirm accurate bookings for all Philippines tours.
  • Book and manage accommodation, domestic flights, transportation, activities, transfers and other services according to confirmed tour itineraries.
  • Input and update reservations received through all booking channels, ensuring information is accurate and complete.
  • Process booking amendments, cancellations and changes, communicating updates promptly to relevant teams and suppliers.
  • Ensure all important customer and tour information, including flight details, arrival times, check-in dates, personal information and special requests, is correctly recorded.
  • Monitor outstanding reservations and follow up with suppliers to ensure services are confirmed within required timelines.

 

Supplier & Operational Coordination

 

  • Communicate regularly with hotels, transport providers, activity suppliers and other local partners regarding availability, confirmations and operational requirements.
  • Maintain clear communication with suppliers, Tour Leaders, managers and internal teams through email, Slack and relevant group communication channels.
  • Support the coordination of Tour Leader and staff transportation between tours where required.
  • Assist with day-to-day operational requirements and help resolve booking or supplier issues before they impact tour delivery.
  • Support the Operations team with flight reconfirmations, accommodation arrangements and other logistical requirements.

 

Administration & Documentation

 

  • Maintain accurate records of supplier correspondence, booking confirmations and amendments.
  • Ensure internal booking files, systems and operational documents remain organised and up to date.
  • Prepare and update booking information, manifests, vouchers and other operational documentation where required.
  • Manage daily correspondence and respond to booking-related queries in a professional and timely manner.
  • Follow company and departmental processes, standards, SOPs and reporting requirements.

 

Financial & Reporting Support

 

  • Assist with supplier invoice processing and ensure booking information matches agreed services and rates.
  • Support the processing and tracking of supplier pre-payments and post-payments.
  • Learn and maintain relevant company systems, including expense sheets, invoices, cash reports and weekly operational reporting.
  • Identify booking or supplier discrepancies and escalate them to the appropriate team member for resolution.

 

Cross-Team Communication

 

  • Support effective communication between the Philippines Operations team and the UK Sales and Bookings teams.
  • Liaise with other departments to ensure booking changes and important operational information are communicated clearly.
  • Work collaboratively with colleagues to ensure tours are fully prepared and operationally ready prior to departure.
  • Escalate potential booking, supplier or operational issues early to minimise disruption to customers and Tour Leaders.

 

Skills & Experience

 

  • Strong organisational skills with excellent attention to detail.
  • Confident written and verbal communication skills.
  • Ability to manage multiple bookings, deadlines and priorities at the same time.
  • Comfortable working with spreadsheets, booking systems and online communication platforms.
  • Strong data-entry accuracy and ability to maintain organised records.
  • Proactive approach to following up outstanding tasks and resolving issues.
  • Ability to work effectively as part of a local and international team.
  • Previous experience in travel, tourism, reservations, hospitality or administration is beneficial but not essential.

The successful Reservations Assistant will ensure that bookings are accurate, complete and confirmed on time, suppliers have the correct information, internal systems remain up to date, and operational teams have everything required to deliver smooth and high-quality tours throughout the Philippines.

Leading unforgettable tours
You'll continue doing what our Local Legends do best, delivering incredible trips and creating memorable experiences for our travellers. You'll lead by example, demonstrating what brilliant looks like when it comes to traveller experience, professionalism, Tru culture and life on the road.

 

Supporting & developing our Local Legends
You'll act as a trusted point of support for Local Legends within your destination, helping people navigate challenges, build confidence and continuously improve. You'll coach and mentor other Local Legends, share your experience and knowledge, support development conversations and help recognise and celebrate brilliant performance. You'll play an important role in building a connected, engaged and high-performing Local Legend community.

 

Training & onboarding
You'll help welcome and develop new Local Legends, supporting onboarding and refresher training and sharing the knowledge that makes our tours special. You'll contribute to engaging learning resources, help keep training materials and itineraries up to date and support future Local Legends as they develop into Tour Leaders our travellers never forget.

 

Championing the guest experience

Creating incredible traveller experiences will always be at the heart of the role. You'll help review guest feedback, NPS and online reviews, spotting themes and turning feedback into practical coaching and development opportunities. You'll champion quality across our tours and look for ways we can continuously improve the Tru experience.

 

Supporting smooth operations
You'll also help keep things running smoothly behind the scenes. This could include supporting Local Legends with Polaris, expenses and operational questions, assisting with monthly budgets and reporting, and supporting recruitment when we're looking for the next generation of brilliant Local Legends.
